The PRB process begins when a project sponsor brings a proposal forward to one of the four Prioritization Committees. A project sponsor is typically an individual or group of individuals who have identified a technology improvement or investment for their community.

Project sponsors work with HUIT (and/or FAS Research Computing or the Institute for Quantitative Social Science) to create an *Intent to Submit*, followed by a full [proposal](https://hu.sharepoint.com/:w:/s/fashuitprojectreviewboard/EWtm3JK5zoZArevBusKYeWABK2K2VG-EEl4IrXu_BWhUlw?e=V8r4fw) that includes a problem statement, a proposed solution, and cost and resource estimates for successful project implementation.

The prioritization committees review each proposal for impact, urgency, alignment with the FAS mission and business goals, potential for success, and degree of engagement with relevant academic or administrative stakeholder groups. The committees prioritize the proposals and refer them to the PRB Steering Committee, which in turn determines which to submit for the upcoming PRB funding cycle. The Steering Committee may also bring forward proposals that have broad FAS benefit or that fall outside the scope of any of the four referring committees.

Twice a year, in December and May, project sponsors formally present their [proposals](https://hu.sharepoint.com/:w:/s/fashuitprojectreviewboard/EWtm3JK5zoZArevBusKYeWABK2K2VG-EEl4IrXu_BWhUlw?e=V8r4fw) to the PRB. The Board reviews and assesses these based on business impact and risk of deferral, and subsequently recommends them for approval, funding, or deferral. The Board may also stipulate conditions for approval or suggest other resources to support a given project.

After projects have concluded, sponsors may be asked to present completion reports to the referring committee or to the PRB.
