## eShipGlobal Platform in FAS

As of June 30, 2025, the Faculty of Arts and Sciences will adopt **eShipGlobal** as a universal shipping compliance tool. This system will manage all **hazardous, export-controlled, international, and domestic shipments** originating from FAS.

Integrated with [Buy-to-Pay](https://solutions.sciquest.com/apps/Router/SAMLAuth/HarvardFullSuite), eShipGlobal is a platform that enables compliance with federal regulations for shipping, including hazardous, international, and research materials, and provides cost comparisons across common shipping carriers like Fedex, UPS and DHL, enabling users to select the most cost-effective option. Local units should discontinue using consumer shipping provider accounts and use the carrier choices in eShipGlobal, which are subject to Harvard-specific discounted rates. The eShipGlobal platform provides access to the major carriers for the creating of shipping labels for most shipping needs. The cloud-based tool has been customized to enable compliance for shipping, including international and research materials. eShipGlobal introduces regulatory oversight for shipments on behalf of the University.

##  Shipping vs. Mailing Correspondence 

The eShipGlobal platform is intended for shipments of tangible items that would customarily be shipped via a shipping provider, like Fedex or UPS. Examples include: a physical item going to another location, a time-sensitive document agreement, a check.

eShipGlobal is not intended to replace the United States Postal Service for everyday correspondence or bulk mail. Examples of correspondence include: annual HR notices sent to an employee’s home address, marketing flyers, a letter you would normally stamp and mail.



 

##  Excluded from eShipGlobal 

eShipGlobal does not support the following types of shipments, which have their own existing protocols for shipping:

- **Inbound shipments:** eShipGlobal is primarily used for **outbound** shipments. If you are using a local shipping provider (ex: Fedex, UPS) account to facilitate inbound shipments, please continue to use your current methods of inbound shipping until we have formal guidance for FAS.
- **Live animals:** visit [FAS Office of Animal Resources - Animal Exports](https://oar.fas.harvard.edu/importsexports) and contact <animal-import-export@fas.harvard.edu>
- **Freight:** Freight is often defined by shipping providers as having these criteria **Length + Girth** must be **≤ 165 inches** and weight over 150 lbs. 
    - **Research materials by freight (international and domestic):** work with [Environmental Health &amp; Safety](https://www.ehs.harvard.edu/programs/shipping-transporting-research-materials) and the [FAS Research Compliance Program](https://research.harvard.edu/research-compliance-program/), [RCP\_exportcontrol@harvard.edu](mailto:RCP_exportcontrol@harvard.edu)
        - This includes materials covered by an MTA being shipped by freight and materials being shipped using sponsored funds
    - **International freight:** work with the [FAS Research Compliance Program](https://research.harvard.edu/research-compliance-program/), [RCP\_exportcontrol@harvard.edu](mailto:RCP_exportcontrol@harvard.edu)
    - **Domestic freight:** Many freight carriers are used on a regular basis at Harvard and most have a specialty that they handle. A Harvard shipper would procure this service through a Purchase Order with an established vendor in Buy2Pay or with a P-Card. 
        - Departments should save the following in their local records when shipping via freight: Item details, sender, recipient name and location, confirmation of receipt, and copies of any receipt (with billing string), waybill/bill of lading, and label.
- **Radioactive Materials:** contact [radiation\_protection@harvard.edu](mailto:radiation_protection@harvard.edu) at Environmental Health &amp; Safety (EH&amp;S) for all radioactive shipping support



 

##  Training 

FAS-specific eShipGlobal instructor-led, virtual training is **available March - June 2025**. Please visit the [eShipGlobal Shipping Compliance Training](https://trainingportal.harvard.edu/Saba/Web_spf/NA1PRD0068/common/ledetail/cours000000000029562) course to sign up for a session.

Shippers of research materials are required to complete training before shipping biological or hazardous materials. Training classes are available in the Harvard Training Portal.

eShipGlobal conducts a training check against successful completion of the appropriate class and does not allow a label to be created if the shipper has not completed the requisite training. Be sure to click through to the final screen on these trainings to record your successful completion.
